If you handle industrial chemical procurement—whether you're a plant manager, a purchasing coordinator, or the engineer responsible for your water treatment system—this checklist can save you some pain. It's the product of seven years on the job and roughly $14,000 in mistakes I'd rather not repeat.
There are 7 steps here. Don't skip any. The ones I skipped turned out to be the expensive ones.
Step 1: Know What You Actually Need
In 2018, I'd just taken over chemical ordering for our plant. We needed to replenish our water treatment system with a batch of water soluble resins. I saw "water soluble" and figured it was straightforward—just add water, right?
Wrong.
The resins required specific temperature and agitation conditions to dissolve properly. Our equipment didn't meet those specs. That batch cost us $3,200—actually, $3,450 when you count return shipping—had to be returned, and delayed production by four days.
Looking back, I should have asked: what are the dissolving conditions for this product? Instead, I assumed.
Here's the thing—basic chemistry concepts matter more in this job than people expect. For example: is water a solvent or a solute? Most of the time, water is the solvent—it's the medium that dissolves other substances. If you mix that up (say, assuming the resin is the solvent and water is the solute), your specs will be wrong from the start.
The lesson: don't guess. Verify.
Step 2: Confirm the Supplier's Scope
We started using Veolia for water treatment solutions back in 2020. Their range is broad—industrial water processing, specialty chemicals, the works. But even with a large supplier, you need to confirm their scope actually covers your specific need.
We once needed a specialized polymer. Figured Veolia would have it. Turns out their product line is wide, but that particular formulation had to come through a different channel. Two weeks lost.
Before ordering, ask: does this product fall within their core scope? If not, can they connect you with someone who does?
Step 3: Get the Chemical Properties and Uses Right
Caustic soda is a perfect example. Its chemical properties are straightforward—strong base, corrosive, hygroscopic. Its uses are equally broad—paper manufacturing, water treatment, food processing, pharmaceuticals.
But here's what people miss: different concentration grades serve completely different purposes. 32% liquid caustic soda and 50% liquid caustic soda have different storage and transport requirements. Get the concentration wrong and you either under-treat or corrode your equipment.
We once received a shipment of 50% caustic soda because we didn't specify the concentration on the order. Our storage tanks were only rated for 32%. We caught it before anything leaked, thankfully, but that was a close one.
Now I write it on every order: concentration, specification, packaging, transport requirements.
Step 4: Confirm Delivery Time—Here's Where Certainty Pays
This is the step I learned the hard way.
September 2022. We had a rush order for water treatment chemicals with a two-week deadline. Two suppliers: one was 15% cheaper but said "probably within two weeks." The other was more expensive but promised guaranteed delivery within 10 days.
I chose the cheaper one. The shipment arrived on day 18. We missed our client's deadline, paid penalties, and lost the account. Total damage: $15,000.
The rush fee for guaranteed delivery? $400 (which, honestly, felt like a lot at the time—until it didn't).
I lost $15,000 trying to save $400.
So here's the principle for Step 4: in urgent situations, paying for certainty of delivery is worth the premium. Uncertain cheap is more expensive than certain expensive.
But let me be clear—this applies to urgent situations. If you have time, you can absolutely choose the cheaper, slower option. But when a deadline is on the line, don't gamble. One loss costs more than many rush fees.
Step 5: Complete the Supplier's System Setup
This one sounds boring, but it trips people up.
First time we worked with Veolia, I thought sending an email with our requirements was enough. They said: you need to register in our system first. Then you can log in through the Veolia login portal and place orders.
My first reaction was: really? But then I got it. Large suppliers have standardized processes. They need to verify your credentials, payment terms, and delivery address. Skip those steps and your order won't go anywhere.
So Step 5: confirm whether you've completed the supplier's registration and login process. If not, do it first. It's a one-time effort that makes everything smoother afterward.
Step 6: Confirm Your Contact and Follow-Up Path
This one took me a while to figure out. Submitting an order doesn't mean you're done. You need to know: who do you contact if something goes wrong?
We had an order stuck in logistics once. I sent three emails to customer service over three days. Nothing. Finally, I found the Veolia contact page, tracked down the account manager, and one phone call sorted it out.
So: after ordering, confirm you have a direct contact for your account. Don't wait until there's a problem to look for one. Ask upfront: "If there's an issue, who should I reach out to?" That question saves a lot of headaches.
Step 7: Prepare for Receipt Inspection
Last step, and the most overlooked.
Most people think receiving is just signing off. But chemicals are different—you need to check concentration, packaging integrity, transport conditions. Once you sign, it's hard to dispute anything.
We now have a receipt inspection checklist: verify product name and concentration, check for leaks, confirm temperature records (if required), retain samples. This has helped us catch potential issues several times.
Common Mistakes to Avoid
A few pitfalls I've personally stepped in:
- Ordering from memory, not specs. "We bought this last time" has burned me twice. Confirm specs on every order.
- Treating delivery time as "approximate" instead of "guaranteed." Ask "when can you guarantee delivery," not "how long does it usually take."
- Ignoring basic chemistry. Understanding water soluble resins, caustic soda concentrations, and whether water is the solvent or solute—these basics prevent a lot of low-level errors.
- Not preparing inspection criteria in advance. If you wait until delivery to think about inspection, you're already behind.
This approach worked for us, but our situation is specific—we're a mid-size plant with predictable water treatment needs. If you're dealing with variable demand or seasonal spikes, you might need to adjust how you weigh cost versus certainty at each step.
